ROPA Flow is an order-to-cash tool built by Ropa Advisory to help distributors take orders, confirm payments, and manage fulfillment over WhatsApp. This policy explains what information we collect through that process and how it's used.

Information we collect

Your WhatsApp phone number and message content, when you message a business using ROPA Flow to place an order or send proof of payment.
Order details you provide (products, quantities, delivery information).
Payment confirmation details, including receipt images and payment references you send us.
Bank or mobile money statement data supplied by the business you're ordering from, used to match your payment to your order.

How we use it

To create and track your order through its lifecycle — quote, invoice, payment confirmation, production, and delivery.
To match your payment to the correct order and confirm receipt.
To send you order and delivery updates over WhatsApp.

How messages are processed

Messages are sent and received using the WhatsApp Business Platform, operated by Meta. Meta processes message content and metadata to deliver messages between you and the business; see Meta's WhatsApp Business Data Processing Terms for details on how Meta handles that data.

Data sharing

We do not sell your data. Order and payment information is shared only with the business you are transacting with, and with the service providers (hosting, database, and messaging infrastructure) needed to operate ROPA Flow.

Data retention

Order, payment, and message records are retained for as long as needed to fulfill orders, support accounting/audit requirements, and resolve disputes.
